Why QuickBooks Says You Made More Than You Did (And What to Do About It)


Have you ever opened a QuickBooks report, only to find that it says you made way more money than you actually brought in? You're not alone.


A new client recently reached out, panicked because QuickBooks showed triple the income she actually earned. Her accountant used those inflated numbers to prepare her taxes—and now it looks like she owes more than she made all year.

So, what happened?


Here are three common QuickBooks mistakes that can make your income appear much higher than it really is:


1. Double-Counting Income

This is the #1 culprit. If you send invoices from QuickBooks and also manually categorize deposits from your bank feed as income, you're counting the same money twice.


2. Unmatched Invoices and Deposits

If you don’t “match” incoming payments to invoices, QuickBooks assumes the deposit is additional income. It's crucial to properly link payments to the correct invoice so QBO doesn’t treat them as separate revenue.


3. Messed-Up Categorization

Sometimes QuickBooks auto-categorizes bank transactions incorrectly—especially if you're relying on suggested rules or manually adding income to the wrong account. This can balloon your income totals in the Profit & Loss report.


How to Fix It


If your QuickBooks file has gotten out of hand, here are a few steps you can take:

  • Run reports in cash basis to see income based on money actually received.

  • Check your invoice list vs. actual deposits. Does it match?

  • Review your Chart of Accounts to make sure income isn’t being split into strange or duplicate accounts.

  • Look at the “Sales by Customer Summary” and compare it to your actual bank statements.


And don’t panic—you might be able to file an amended return or request an extension if needed.
